What Is a Playback Session in Knowledge Transfer?

A playback session is a stage of knowledge transfer where the person or team taking over a process explains and demonstrates it back to the subject matter expert (SME) who taught it. The SME listens, checks and notes anything missing or wrong. A playback proves the receiving team has understood the process, before it starts doing the work in shadowing and reverse shadowing.

Playback sessions are common in outsourcing, BPO, GCC and AMS transitions, and they're often a formal gate in the transition plan. They're also called KT playback, reverse KT or teach-back sessions. In this sense, playback has nothing to do with video playback; it means "playing back" what you've learned.

How Does a Playback Session Work?

A playback usually happens after knowledge transfer sessions and documentation are complete, and before the parallel run:

  1. Knowledge transfer: the SME explains and demonstrates the process.

  2. Documentation: the KT is turned into SOPs and videos.

  3. Playback: a receiving team member walks the SME through the process in the system, explaining each step, the business rules and the main exceptions.

  4. Scoring and fixes: the SME scores the playback against agreed criteria, and any gaps are fixed in the documentation. If the score falls short, the playback is repeated.

  5. Shadowing, reverse shadowing and certification follow once playback is passed.

What to Check During a Playback

  • Steps: are they in the right order, in the right screens?

  • Business rules: does the receiving team know the thresholds, approvals and policies?

  • Exceptions: can they explain what to do when the work doesn't follow the standard path?

  • Controls: do they know which checks must happen, and why?

  • Questions: can they answer the SME's "what if" questions?
