Run a free ITIL documentation gap analysis in three minutes: rate how well each ITIL practice is documented, see your coverage score and find the gaps that put service quality, audits and handovers at risk.

Most IT teams adopt ITIL practices faster than they document them. Incident and change processes run every day, but the procedures behind them live in a few people's heads, in old wiki pages and in ticket comments. That works until a key engineer leaves, an auditor asks for evidence, a service moves to a new provider or the ITSM platform changes. An ITIL documentation gap analysis shows where documentation is missing or out of date, so you can fix the gaps that matter most first.

What is an ITIL documentation gap analysis?

An ITIL documentation gap analysis compares the documentation your IT organisation has for each ITIL practice with what it needs to run that practice consistently. For each practice, such as incident management, change enablement or knowledge management, it checks whether procedures, work instructions, runbooks and knowledge articles exist, whether they're current and whether people can find them. The output is a list of gaps, ranked by risk, with the documentation needed to close each one.

ITIL 4 describes 34 management practices. Most IT organisations don't need documentation for all of them on day one, so the assessment starts with the practices that run every day and carry the most risk.

How the ITIL documentation gap analysis tool works

  1. Rate each practice in scope as not documented, outdated, partly documented or documented and current.

  2. See your coverage score and the practices with the biggest gaps straight away.

  3. Sign up for the full results: a prioritised gap report, the documents each practice needs and a plan for closing the gaps.

What counts as "documented" for an ITIL practice?

A practice is properly documented when:

  • The process is written down with roles, steps, inputs, outputs and approvals.

  • Task-level guidance exists for the people doing the work, such as work instructions or runbooks in the ITSM tool.

  • Exceptions and escalations are defined, including major incidents and emergency changes.

  • It's current, matching how the ITSM platform is configured today.

  • It has an owner and a review date.

  • People can find it in the knowledge base or service portal, where they work.

A process diagram on its own isn't enough. Most gaps appear at task level, where engineers and agents need step-by-step guidance in the actual tool.

The most common ITIL documentation gaps

  • Major incident procedures that exist on paper but haven't been updated since the last re-organisation.

  • Emergency change steps that live only in the change manager's head.

  • Known errors and workarounds recorded in tickets but never turned into reusable knowledge; use the KEDB template to structure them.

  • Runbooks for monitoring alerts that are missing or out of date.

  • Knowledge articles with no owner or review date.

  • ITSM platform workflows that changed after an upgrade while the documentation didn't.

How to close ITIL documentation gaps

  1. Prioritise by risk: start with incident, major incident and change enablement, then problem, service request and knowledge management.

  2. Record the experts doing the work in the ITSM platform, narrating each decision and exception.

  3. Turn recordings into procedures, work instructions and runbooks, with screenshots and short videos.

  4. Publish in the knowledge base your service desk and resolver groups already use.

  5. Assign owners and review dates, and update documentation after each platform release; see stale SOP detection.

For change documentation specifically, see the ITIL change management guide.

When to run an ITIL documentation gap analysis

  • Before an audit, to find missing evidence early.

  • Before an ITSM platform migration or upgrade, so documentation can be updated alongside configuration.

  • Before outsourcing or transitioning a service, so the receiving team gets complete documentation.

  • When key people are leaving, to capture knowledge before it goes.

  • Once a year, as part of continual improvement.

ITIL documentation for ServiceNow and other ITSM platforms

Many ITIL gaps are platform gaps: the process is fine, but nobody has documented how to do it in ServiceNow, Jira Service Management or another tool after the last configuration change. Recording the real steps in the platform closes these gaps fastest. For ServiceNow-specific guidance, see ServiceNow implementation documentation.

How Trupeer helps close ITIL documentation gaps

Gap

How Trupeer helps

Procedures live in engineers' heads

Record them doing the work in the ITSM platform, and Trupeer turns each recording into a step-by-step procedure and video

Runbooks are missing

Trupeer's AI runbook generator turns recordings of operational tasks into runbooks

Knowledge articles are hard to write

Turn resolved incidents and walkthroughs into short, searchable guides

Documentation goes stale after upgrades

Update by editing the script or replacing a single step

Global service desks need several languages

Translate procedures and videos from one source

Genpact used Trupeer's recording-first approach for a company-wide Workday rollout, turning recorded process sessions into more than 500 training collaterals across 20 workstreams in five languages, for 140,000 employees in 40 countries, in 3 months instead of 12. Read the Genpact customer story.

Pertanyaan yang Sering Diajukan

What is an ITIL documentation gap analysis?

It compares the documentation you have for each ITIL practice with what you need to run it consistently, checking whether procedures, work instructions, runbooks and knowledge articles exist, are current and can be found, and ranks the gaps by risk.

Which ITIL practices should be documented first?

Start with the practices that run every day and carry the most risk: service desk, incident management including major incidents, and change enablement. Then move to problem, service request and knowledge management.

How long does the assessment take?

About three minutes. You rate each practice in scope, see your coverage score straight away and can sign up for the full report.

Is the ITIL documentation gap analysis tool free?

Yes. The assessment and coverage score are free. Sign up to get the full prioritised gap report and plan.

Does this work for ITIL 4 and ITIL v3?

Yes. The assessment uses ITIL 4 practice names, such as change enablement, but the documentation checks apply equally to teams still using ITIL v3 process names.
