Export SOPs to SharePoint so your procedures live where your organisation already works: record a process once in Trupeer, then publish the SOP to SharePoint as an embedded guide and video, a link or a Word or PDF file.

Many organisations keep their policies and procedures in SharePoint. It's the intranet people know, it's where document libraries, permissions and retention are already set up, and it's where auditors expect to find controlled documents. The problem is getting good SOPs into it. Writing procedures by hand takes weeks, screenshots go out of date, and updated versions end up scattered across sites and libraries. Trupeer creates the SOP from a recording and gives you several ways to put it in SharePoint, so the procedure people find on the intranet is clear, visual and current.

Ways to export SOPs to SharePoint

Method

What appears in SharePoint

Best for

Embed on a SharePoint page

The SOP's video and guide inside a modern page, using the Embed web part

Process hubs, team sites and onboarding pages

Link from a page or library

A link to the live SOP in Trupeer

Quick reference where the latest version must always show

Export as Word or PDF

A file in a SharePoint document library

Controlled documents, audit files and retention policies

Many teams combine them: an embedded walkthrough on the team page for day-to-day use, and a PDF in the controlled document library for audit.

How to export an SOP to SharePoint

  1. Create the SOP in Trupeer by recording the process once, or by uploading a recording you already have; see how to convert a screen recording to an SOP.

  2. Review and approve the SOP, adding business rules, exceptions and owner details.

  3. Choose how to publish: copy the embed code or link, or export the SOP as a Word or PDF file.

  4. Add it to SharePoint: paste the embed code into an Embed web part on a modern page, add the link to a page or Quick Links, or upload the file to a document library.

  5. Set permissions and metadata in SharePoint as you would for any controlled document.

Export an SOP as a file for a SharePoint library

  1. In Trupeer, open the SOP and export it as a Word or PDF file.

  2. In SharePoint, open the document library where your procedures are kept.

  3. Upload the file and add your usual metadata, such as owner, version and review date.

Keeping SharePoint SOPs current

The biggest risk with SOPs on an intranet is that the copy people find is out of date. Two habits help:

  • Prefer embeds and links for working procedures, so the page always shows the current version from Trupeer.

  • Re-export files after each approved change, and replace the old file in the document library so version history stays in one place.

For more on managing versions, see SOP version control best practices.

To spot procedures that no longer match the application, see stale SOP detection.

Why teams publish Trupeer SOPs to SharePoint

  • People find SOPs where they already look, on the intranet and in team sites.

  • Each SOP comes with a short video, so procedures are easier to follow than text alone.

  • Controlled copies fit existing governance, with SharePoint permissions, metadata and retention.

  • One source for every language: translate the SOP in Trupeer and publish each language to the right site; see the SOP translator.

  • Updates are faster, because you edit the SOP in Trupeer instead of rewriting a document.

Who exports SOPs to SharePoint?

  • Operations and process owners publishing procedures for their teams.

  • Quality and compliance teams keeping controlled documents in document libraries.

  • HR and onboarding teams building onboarding hubs on the intranet.

  • IT and shared services teams running knowledge sites for employees.

For managing the whole SOP library alongside SharePoint, see Trupeer's SOP management software.

Proof: procedures and training at enterprise scale

Genpact used Trupeer for a company-wide Workday rollout, turning recorded process sessions into more than 500 training collaterals across 20 workstreams in five languages, for 140,000 employees in 40 countries, in 3 months instead of 12. Read the Genpact customer story.

FAQs

Can I export SOPs to SharePoint?

Yes. You can embed a Trupeer SOP's video and guide on a SharePoint page, link to the live SOP, or export the SOP as a Word or PDF file and upload it to a document library.

Which is better: embedding or uploading a file?

Embedding or linking keeps the page showing the current version automatically. Uploading a Word or PDF file suits controlled documents, audit files and retention policies. Many teams use both.

How do I embed a Trupeer SOP in SharePoint?

Copy the embed code from Trupeer's Share menu, edit your SharePoint page, add an Embed web part and paste the code.

Do SharePoint permissions apply to Trupeer SOPs?

Files you upload follow your SharePoint library permissions. For embedded or linked SOPs, set sharing and visibility in Trupeer as well, so only the right people can open them.

Can I publish SOPs in several languages to SharePoint?

Yes. Translate the SOP in Trupeer and publish each language version to the relevant SharePoint site or library.

Does Trupeer work with Microsoft Teams too?

Yes. SharePoint and Teams share the same files, and you can also turn Teams recordings into SOPs; see Teams recording to SOP.
