Free Time to Proficiency Calculator
See how many days and how much money you could save by cutting ramp time with recorded SOPs and video training, using a conservative benchmark.
Trupeer's time to proficiency calculator shows how many days and how much money you could save by cutting ramp time with recorded SOPs and video training. Choose how many people you're ramping, how long they currently take to reach proficiency, how many processes they learn and what a day of their time costs. The calculator shows your new time to proficiency, the days saved per person, the productive days recovered across the team and the estimated cost saved, straight away. Time to proficiency is one of the most expensive numbers in any operation. Every day a new hire, or a team taking over work in a transition, spends below the expected standard is a day of paid time without full output, plus the time of the experienced people answering their questions. Most of that delay comes from how knowledge is shared: live shadowing, scattered documents and experts who are too busy to explain things twice. Recorded SOPs and video walkthroughs let people learn the real work at their own pace, from day one.
How to Use the Time to Proficiency Calculator
The calculator is built for operations, L&D and transition leaders who need a quick, defensible estimate of what faster ramp-up is worth, with no spreadsheet and no learning curve. It works in three steps.
Step 1: Enter Your Team and Ramp Time
Choose how many people you're ramping, whether that's new hires over a year or the team taking over work in a transition. Then choose your current time to proficiency: the days from someone's start until they meet your quality and productivity standard. If you're not sure of your exact figure, see our guide to time to proficiency and pick the closest option.
Step 2: Add Processes and Daily Cost
Choose how many processes each person needs to learn, and the fully loaded cost of one person for one day, including salary, benefits and overheads. These two inputs turn time saved into a cost figure and shape the breakdown in your full results.
Step 3: See Your Savings and Get Full Results
The calculator instantly shows your new time to proficiency, the days saved per person, the productive days recovered across the team and the estimated cost saved. Sign up free for the full results with a breakdown by process, or book a demo to validate the number against your own data.
Key Features of the Time to Proficiency Calculator
The calculator turns a hard-to-measure training problem into a clear business case, using conservative assumptions you can defend in front of finance and leadership.
Instant Results: See days and cost saved the moment you choose your inputs, with no signup needed for the headline numbers
Conservative Benchmark: Calculations use a 20% reduction in ramp time, well below the 75% faster delivery Genpact saw when it built its training library from recordings with Trupeer
Team-Level Impact: Days saved per person are multiplied across your headcount, so you see the total productive time recovered
Cost in Your Terms: A fully loaded daily cost turns days saved into a figure you can put in a business case
Works for Hiring and Transitions: Use it for annual new-hire ramp-up or for a team taking over work in an outsourcing, GCC or vendor transition
Validate With Our Team: Book a demo to test the estimate against your own processes, ramp data and training approach
Why Use a Time to Proficiency Calculator?
Faster ramp-up is easy to agree with and hard to put a number on. A time to proficiency calculator gives you that number, so investing in better documentation and training becomes a business decision rather than a nice-to-have.
Build a Business Case: Show leadership the cost of slow ramp-up and what a realistic improvement is worth
Prioritise the Right Teams: Compare high-headcount, long-ramp teams to see where faster proficiency pays back most
Plan Transitions Realistically: Estimate how much productive time a transition will lose to ramp-up, and how much recorded KT can recover
Make Training Measurable: Set a baseline now and track time to proficiency as documentation and training improve
Free Up Experts: Fewer days of ramp-up means fewer days of senior staff answering the same questions
Who Should Use the Time to Proficiency Calculator?
The calculator is useful for anyone responsible for getting people productive quickly, from a single team to a multi-site operation.
Operations and Delivery Leaders: Quantify the cost of slow ramp-up across teams and sites
L&D and Enablement Teams: Build the case for recorded SOPs and video training with numbers leadership trusts
Transition Managers: Estimate productive time lost during knowledge transfer and how much a recording-first approach can recover
BPO, GCC and Shared Services Leaders: Model ramp-up for high-volume hiring and new client or process waves
HR and Workforce Planners: Factor realistic ramp time into hiring and capacity plans
Best Practices for Using the Time to Proficiency Calculator
A few habits make the estimate more accurate and easier to defend.
Define Proficiency First: Use a clear standard, such as meeting quality and volume targets for two consecutive weeks, so your current ramp figure is reliable
Use Fully Loaded Costs: Include benefits, overheads and supervision time, not just salary, for a realistic cost figure
Run It Per Team: Calculate separately for teams with very different ramp times rather than averaging them together
Stay Conservative: Present the conservative result first; the case is stronger when the numbers are easy to believe
Validate With Your Data: Book a demo to compare the estimate with your own ramp data, and read how recorded video reduces training time for new BPO agents

Frequently Asked Questions
What is time to proficiency?
Time to proficiency is how long a new employee, or a team taking over new work, takes to perform to an agreed standard without extra support. Read more in our time to proficiency glossary entry.
How does the calculator work out savings?
It applies a 20% reduction to your current ramp time to get days saved per person, multiplies that by your headcount for productive days recovered, and multiplies those days by your daily cost per person for the estimated cost saved.
Why use a 20% reduction?
It's deliberately conservative. Genpact delivered its training library 75% faster by building it from recordings with Trupeer, but ramp time depends on many factors, so the calculator uses a lower figure that's easier to defend.
What does the cost per person per day include?
Use a fully loaded figure: salary, benefits, overheads and an allowance for the supervision and support a new person needs. Choose the closest option in US dollars.
