Every month, the finance team races to close the books. Journals are posted late, reconciliations don't tie, intercompany balances disagree and someone is still waiting for an accrual on day five. Most close problems aren't about effort; they're about the same tasks being done differently each month, by different people, in a different order. A record to report SOP template gives the close a single documented procedure, with clear owners, deadlines and controls.
This free record to report SOP template covers the full R2R cycle, from journals and sub-ledger close to reconciliations, intercompany, consolidation and reporting, with a close calendar and an exception-handling table. Copy the structure below, see a filled-in example, or open it in Trupeer and customize it for your finance team.
What is a record to report SOP template?
A record to report SOP template is a ready-made standard operating procedure for the record to report (R2R) process, the part of finance that records transactions, closes the books and produces financial reports. It sets out who does what, in what order and under which controls, from maintaining the chart of accounts and posting journals to reconciling accounts, closing the period, consolidating entities and reporting results. A good record to report SOP template also covers the exceptions, such as unreconciled differences, intercompany mismatches and late adjustments, and the controls auditors expect to see.
Your accounting policies set the rules; the SOP shows how the team applies them each period, step by step. For a general SOP format you can adapt to any process, see the free SOP template.
Why does record to report need an SOP?
The close runs on deadlines. Every late task delays reporting, so tasks, owners and timing must be clear.
Accuracy depends on consistency. Journals, accruals and reconciliations must be done the same way every period.
Auditors test R2R controls. Journal approval, reconciliation sign-off and period locks need documented procedures.
Knowledge is concentrated. Close tasks are often known by one or two people, which is a risk when they're away or leave.
R2R feeds every decision. Reporting errors affect leadership, lenders, investors and regulators.
R2R is a common target for shared services and automation. Both depend on a clearly defined process.
Who uses a record to report SOP template?
General ledger accountants who post journals and reconcile accounts.
Close managers and financial controllers who run the close calendar and review results.
Intercompany and consolidation accountants who manage entity balances and group reporting.
Fixed asset, accruals and reporting specialists.
CFOs and finance directors who own the financial statements.
Shared services, GBS and BPO teams running R2R for several entities or clients.
Auditors and ERP implementation teams reviewing or documenting R2R controls.
Preview the record to report SOP template
The template opens with document control, purpose and scope, then a roles table for the GL, close, intercompany, consolidation and reporting teams. Policies and reference data follow, such as materiality thresholds, journal approval limits and the close calendar. The procedure covers the R2R cycle in eight stages, each with numbered steps, owners, deadlines and expected results. An exception-handling table sets out what to do when a journal, reconciliation or balance doesn't follow the standard path. The template closes with controls, KPIs, records and revision history. Every section is editable, so you can add your ERP's transaction names, adjust deadlines or split stages into separate SOPs.

1. Document control. SOP ID: [R2R-001]. Version: [x.x]. Owner: [Financial controller]. Approver: [CFO]. Effective date: [date]. Next review: [date].
2. Purpose. This SOP defines how [Company] records financial transactions, closes each accounting period and produces financial reports, so the books are accurate, complete and on time and financial controls are applied consistently.
3. Scope. Applies to [entities and ledgers] in [ERP]. Covers the monthly, quarterly and year-end close. Excludes [statutory tax filings, covered by a separate SOP].
4. Roles and responsibilities.
Role | Responsibility |
|---|---|
GL accountant | Prepares and posts journals; prepares reconciliations |
Close manager | Runs the close calendar; tracks tasks and escalates delays |
Intercompany accountant | Matches and reconciles intercompany balances |
Consolidation and reporting accountant | Consolidates entities and prepares financial reports |
Sub-ledger owners (AP, AR, fixed assets, payroll) | Close their sub-ledgers and confirm postings by the deadline |
Reviewer or approver | Reviews and approves journals and reconciliations within their limit |
Financial controller | Owns R2R controls, reviews results and approves this SOP |
5. Policies and reference data. Materiality thresholds: [amounts]. Journal approval limits: [per delegation of authority]. Close calendar: [working day deadlines]. FX rates: [source and timing]. Reconciliation frequency: [by account risk].
6. Procedure.
Stage 1: Maintain master data. Process approved requests to add or change accounts and cost centres before the close starts. No master data changes after [cut-off day].
Stage 2: Post journals during the period. Post standard and recurring journals on schedule. For manual journals, attach supporting documents and route for approval within the limit before posting.
Stage 3: Close sub-ledgers (day [1–2]). Confirm AP, AR, fixed assets, inventory and payroll have posted all period transactions and are closed. Run depreciation and confirm it has posted.
Stage 4: Post accruals and prepayments (day [2–3]). Calculate and post accruals for goods and services received but not invoiced, and amortise prepayments. Set reversals for the next period.
Stage 5: Reconcile intercompany (day [2–3]). Match intercompany balances between entities, resolve differences with the counterparty and post agreed adjustments.
Stage 6: Reconcile balance sheet accounts (day [3–4]). Reconcile bank accounts and all balance sheet accounts in scope, explain differences, and get each reconciliation reviewed and signed off.
Stage 7: Close the period and consolidate (day [4–5]). Review the trial balance, post approved adjustments, lock the period, translate foreign currency balances and consolidate entities with eliminations.
Stage 8: Report and review (day [5–6]). Prepare financial statements and management reports, perform variance analysis, review with the controller and CFO, and distribute.
7. Exception handling.
Exception | How to recognise it | Action | Decision owner | Time limit | Escalate to |
|---|---|---|---|---|---|
Journal without support | Manual journal has no supporting documents | Reject; return to preparer | Reviewer | [Same day] | Close manager |
Journal above approval limit | Amount exceeds the preparer's or reviewer's limit | Route to the next approval level | Approver | [Same day] | Financial controller |
Reconciliation difference | Unexplained difference above the threshold | Investigate; correct or document the reason | GL accountant | [Before close sign-off] | Close manager |
Intercompany mismatch | Balances between entities don't agree | Contact the counterparty; agree and post the adjustment | Intercompany accountant | [Day 3] | Financial controller |
Late sub-ledger | Sub-ledger not closed by its deadline | Escalate; estimate if needed and document | Close manager | [Deadline + 4 hours] | Financial controller |
Post-close adjustment | Change needed after the period is locked | Assess materiality; post in the next period or reopen with approval | Financial controller | [Per policy] | CFO |
Interface failure | Transactions from another system haven't posted | Raise with IT; post manually only with approval | Close manager | [Same day] | Financial controller |
Not covered above | Case doesn't match any row | Stop and escalate; do not improvise | Close manager | [4 hours] | Financial controller |
8. Controls. Manual journals need approval by someone other than the preparer. Reconciliations are prepared and reviewed by different people. Periods are locked after close. Chart of accounts changes are approved before they're made. Close tasks are tracked against the calendar.
9. KPIs. Days to close, number of manual journals, post-close adjustments, reconciliations completed on time, aged reconciling items, intercompany differences and reports delivered on time.

Record to report close calendar example
Here's how the close tasks might fall across the working days after period-end. The timing is illustrative; set your own based on your entities and systems.
Working day | Key tasks | Owner |
|---|---|---|
Day -2 to 0 | Master data cut-off, recurring journals, pre-close checks | GL accountant |
Day 1 | Sub-ledgers closed, depreciation run | Sub-ledger owners |
Day 2 | Accruals and prepayments, intercompany matching starts | GL and intercompany accountants |
Day 3 | Intercompany agreed, bank reconciliations | Intercompany and GL accountants |
Day 4 | Balance sheet reconciliations reviewed, adjustments posted | GL accountant and reviewer |
Day 5 | Period locked, FX translation, consolidation | Consolidation accountant |
Day 6 | Financial statements, variance analysis, review | Reporting accountant and controller |
Which record to report procedures need their own SOP?
The template above covers the whole cycle. Larger finance teams often split it into separate SOPs:
R2R procedure | What it covers |
|---|---|
Chart of accounts and master data | Requests, approval and changes |
Manual journal entries | Preparation, support, approval and posting |
Accruals and prepayments | Calculation, posting and reversal |
Fixed assets | Additions, depreciation and disposals |
Intercompany | Matching, reconciliation and settlement |
Bank and balance sheet reconciliations | Preparation, review and sign-off |
Month-end close | Calendar, checklist and period lock |
Consolidation and FX | Translation, eliminations and group reporting |
Financial and management reporting | Statements, variance analysis and distribution |
R2R depends on the sub-ledgers closing on time, so pair this template with the accounts payable SOP template.
For the receivables side, use the order to cash SOP template.
Record to report controls to build into the SOP
Control | Why it matters |
|---|---|
Journal approval by someone other than the preparer | Prevents errors and unauthorised entries |
Supporting documents for every manual journal | Gives auditors evidence for each entry |
Reconciliation preparation and review by different people | Catches errors and unexplained balances |
Period lock after close | Stops changes to closed periods |
Chart of accounts change approval | Keeps reporting structure consistent |
Close calendar tracking | Makes delays visible early |
Intercompany confirmation | Ensures balances agree before consolidation |
Record to report SOP KPIs
Track a small set of measures to see whether the SOP is working:
Days to close: working days from period-end to locked books.
Manual journals: number and value posted each period.
Post-close adjustments: changes needed after the books were locked.
Reconciliations on time: share completed and reviewed by the deadline.
Aged reconciling items: unexplained items older than [days].
Intercompany differences: value unresolved at close.
Reports on time: management and statutory reports delivered by their deadlines.
Set your own targets and baseline them before you change the process.
How to create your record to report SOP from recordings
Choose a close task, such as an accrual calculation, a bank reconciliation or the consolidation run.
Record the accountant who does it best, narrating each step, check and judgement, during a real close.
Generate the SOP and video with Trupeer, then review the steps and add your thresholds, limits and deadlines.
Fill in the exception table from the recordings, past close issues and audit findings.
Get approval from the financial controller.
Publish and train, linking each task in the close checklist to its SOP and video, and update the SOP whenever the system or policy changes; see SOP version control.
Recording during the close captures the real steps and the judgement calls that rarely make it into written procedures.
Formats for a record to report SOP
Step-by-step with an exception table suits most R2R procedures, such as journals, accruals and reconciliations. This is the format the template above uses.
Close calendar or checklist suits the month-end close, where every task needs an owner and a deadline.
Flowchart suits approval routing and consolidation, where steps depend on amounts or entities.
Spreadsheet suits close task tracking, reconciliation status and KPIs, kept alongside the SOP.
Best practices for record to report SOPs
Build the SOP around the close calendar, with every task tied to a working day and owner.
Set clear materiality thresholds so people know which differences to investigate.
Use your ERP's real screen and transaction names.
Record close tasks while they happen, including the judgement behind them.
Review the SOP after every close retrospective, system change and audit.
Common mistakes to avoid
No single owner for the close, so delays aren't escalated.
Leaving out exceptions, so reconciliation differences and late adjustments are handled differently each period.
Same person preparing and approving journals, a common audit finding.
Reconciliations without review, leaving errors and old balances undetected.
Never updating the SOP after a system or policy change.
Record to report SOP checklist
Document control is complete, with owner and review date.
Roles cover GL, close, intercompany, consolidation, reporting and sub-ledger owners.
Thresholds, approval limits, FX sources and the close calendar are documented.
Every stage from master data to reporting has numbered steps and deadlines.
The exception table covers unsupported journals, reconciliation differences, intercompany mismatches, late sub-ledgers and post-close adjustments.
Segregation of duties, reviews and period locks are defined.
KPIs and records are specified.
Videos are linked for key close tasks.
How Trupeer helps you build and maintain your record to report SOP
R2R SOP challenge | How Trupeer helps |
|---|---|
Close tasks are known by one or two people | Record them during a real close, and Trupeer's SOP creator turns each recording into a step-by-step SOP and video |
SOPs take weeks to write | One recording becomes a reviewable SOP draft with screenshots in minutes |
Entities and shared services centres work in different languages | Translate SOPs and videos from one source into 65+ languages |
The ERP or close process changes and SOPs go out of date | Update videos by editing the script, and replace a single step instead of re-recording |
New accountants need to learn the close fast | Publish SOPs and short videos in one searchable knowledge base, linked from the close checklist |
Genpact used this recording-first approach for a company-wide Workday rollout, turning recorded process sessions into more than 500 training collaterals across 20 workstreams in five languages, for 140,000 employees in 40 countries, in 3 months instead of 12. Read the Genpact customer story.
